1. Overview
This policy explains how subscriptions to MedSynq can be cancelled, what happens to your billing when you cancel, and our position on refunds. It applies to all paid subscriptions to the MedSynq platform operated by Medsynq Solutions Private Limited. By subscribing to a paid plan, you agree to this policy alongside our Terms of Service.
2. The Free Audit
The MedSynq clinic audit is free, once per clinic. No payment is taken for the free audit, so no refund or cancellation applies to it. Paid plans are described separately below.
3. How Billing Works
3.1 Monthly Billing in Advance
Paid plans are billed monthly, in advance, through Razorpay. When you subscribe or renew, you pay for the upcoming month of service before that month begins, similar to a prepaid recharge.
3.2 Auto-Renewal
If you enable auto-renewal, your subscription renews automatically at the end of each billing cycle and the fee for the next cycle is charged in advance. Auto-renewal continues until you turn it off.
3.3 Annual Plans
Where annual plans are offered, the full annual fee is charged in advance. Annual plan cancellation terms will be stated at the time the plan is offered. [confirm annual terms when launched]
4. How to Cancel
You can cancel at any time, in either of two ways, and the outcome is different for each. Please read both carefully.
Cancel the subscription itself
- Your access to paid services ends at the point of cancellation.
- You are charged for the number of days you actually used the service during that cycle.
- A cancellation fee applies. [confirm: amount or %]

For clinics that want to stop using MedSynq straight away.
Cancel only the auto-renewal
- You keep full access for the remainder of the cycle you have already paid for.
- No cancellation fee applies.
- At the end of that cycle, your subscription simply does not renew.
- You are not charged again.
For clinics that want to finish the period they have paid for, then stop.
4.3 Where to Cancel
You can cancel from your account settings, or by contacting us at [email protected]. Cancellation takes effect once we process your request, and we will confirm it to you.
5. Refunds
5.1 No Refund for Service Already Used
Fees for the period of service you have already used are non-refundable. Because billing is monthly and in advance, and because the service is available to you throughout the period you have paid for, we do not refund time you have already had access to.
5.2 Cancellation Fees Are Non-Refundable
Where a cancellation fee applies (Option A above), that fee is non-refundable.
5.3 No Refund for Outcomes
MedSynq provides intelligence, recommendations, and guidance. It does not guarantee any specific result, such as recovering a particular patient or generating a particular amount of revenue. We do not provide refunds on the basis that your revenue, patient return rate, or health score did not improve, because these outcomes depend on factors outside our control, including your patients' own decisions.
5.4 Exceptional Refunds
We may, at our sole discretion, issue a refund in genuine exceptional cases, such as a duplicate charge, a technical billing error on our side, or a payment taken in error. To request a review, contact [email protected] with your account details and the transaction reference. Approved refunds are processed back to the original payment method through Razorpay, typically within 7 to 10 business days. [confirm refund processing window with Razorpay]
6. Failed or Disputed Payments
If a scheduled payment fails, we may retry it and may suspend access to paid features until payment succeeds. If you believe a charge is incorrect, contact us at [email protected] before raising a dispute with your bank, so we can resolve it directly and quickly.
7. What Happens to Your Data When You Cancel
When your subscription ends, your clinic data is retained for a 30-day recovery window, during which you can reactivate or request a full export. After 30 days, your data is permanently deleted from our systems, except for records we are legally required to retain, such as billing and tax records. This is explained in full in our Privacy Policy.
8. Changes to This Policy
We may update this policy from time to time. For material changes, we will update the "Last Updated" date and notify registered accounts at least 14 days before the change takes effect.
